Macros are your Friend

If you are not familiar with the term Macro, you are not alone. A Macro is a series of key strokes that produce a desired result. I used Macros a few years ago with the Lotus 1-2-3 program and quite honestly forgot about them. In today's applications, Macros are easier than ever as there is a "record" function in many of the programs we use on a daily basis. I am going to discuss two of them that are most commonly used...Microsoft Word and Excel.

Microsoft Word is a word processing program. It is mostly used for letters and page by page documents. Excel is a spreadsheet program and is most commonly used for working with numbers and calculations.

The Macro feature in Microsoft word is located under "View" tab. You can select "Record Macro" and the program will record all of your keystrokes until you tell it to stop recording.

This can be used for text, pictures, charts, shapes etc, that you want to use over and over again. The macro can be stored in a button on any of your file menus or with a keystroke that you select such as "CTRL A". When you hold the control button and hit the letter A, your Macro runs and gives you your stored result on the page.

Macros in general are great for repeating functions over and over again. You might have an entire document in Microsoft Excel that is spaced improperly. You can record a Macro that re-spaces the document and moves to the next line to repeat that function. In Excel, the Macro feature is located under the "View" tab as well.

There are numerous applications for adding macros to your documents and programs. If you always typed a lengthy company name, address and phone, you could save it as a Macro. Try one today! (This message brought to you by the National Foundation for the Preservation of Macros).
